Payment, Cancellation and Credits

If a child cannot attend due to illness or any valid reason, a credit note will be provided, at SG Maths Ltd’s discretion, for any full, unspent days, pro-rata the weekly fee. Credit notes are not provided if a child misses a morning/afternoon/day of the course due to an appointment or other activity. Credit notes are transferable. Refunds will not be issued.​ Credit notes can be used in part payment towards our Holiday Camps. Please email the office (SGMathsUK@gmail.com) to obtain your coupon code, to apply your credit at checkout.​

Cancellation must be in writing. You may cancel part of your booking, but only full days or whole weeks. Credits can be given on a pro-rata basis for days cancelled from a week booking.​ Discount Basket codes are valid at participating offices only and difference payments may be requested if misused.​​

Bookings

Only full payment is regarded as acceptance of our booking conditions. No booking is fully confirmed until a full payment is received. Children booked from overseas are required to have a good level of spoken English so that they can follow the instructions from the leaders and are able to communicate with the other children. We do not teach English in our camps.

​​Pricing & Discounts

All prices and costs listed are inclusive of VAT (if applicable). The Group/Sibling Discount is available once the Early Bird Discount, if applicable, has expired for the appropriate season. Discounts cannot be combined.​

​​Changing your Booking

With more than 7 days’ notice, we will endeavour to change your dates within the same season (e.g. Summer), subject to availability.​We are unable to guarantee any changes with less than 7 days’ notice.

Venue Cancellation

Only in exceptional circumstances, we may have to cancel particular dates/venues.In this event, we will give those booked onto the programme at least 14 days’ notice and will offer a suitable alternative if one is available, or offer a full refund.​​

Available Dates and Activities

All the information on our website is correct at time of publication. Changes may occur and, if so, we will inform you via our website and email as soon as possible. Activity programmes are subject to change in the event of unsuitable weather or other circumstances beyond our control.​

Camp Timings

Our standard hours for all camps and courses are 9.00am to 3:00pm. A child be dropped off early or / picked up late to a maximum of 15 minutes per session, beyond which, a late pick-up charge of £5 per 15 minutes per child is applicable. We reserve the right to refuse future bookings from parents who continually pick up late.

Parental Requirements
  • Please provide a clearly named, nut-free packed lunch each day, in packets/containers that your child can open and close. Please ensure that all food items that may pose a choking hazard (grapes, sausages, cherry tomatoes etc.) are sliced. Please also provide cutlery. We have a no sharing food policy.

  • We provide drinking water, crackers and fruits on-site to keep your children hydrated throughout the day.

  • Campers should wear appropriate clothing for indoor and outdoor activities.

Drop-Off and Collection Procedures

Please ensure you have confirmed the names and phone numbers for the authorised person(s) to pick your children from the camp. You can notify us in advance about a change of authorised person(s) by phone or email. If any persons attempt to collect who are not on the register, you will be contacted by telephone to confirm their identity.

Insurance

All children in our care are covered by our Public Liability Insurance.

Illness and Accidents

All children who are unwell with infectious illnesses must be kept home for the full duration of their ailment, and for 48 hours after the last symptom occurs. If any children are ill when they first arrive at the Camp we will immediately notify their parents or carers to come and collect them. We will only administer medication in an emergency, as instructed by the parent and if it has been prescribed by a doctor or other health professional.

We will record any accidents or illnesses, together with any treatment given, on an Incident Record or Accident Record sheet as appropriate, which the parent or carer will be asked to sign when they collect the child.

First Aid

In the event of an accident, first aid will be administered to children in our care, and the emergency services will be called if necessary.

Essential prescribed medication must be handed in to the Camp Manager for safe-keeping, in accordance with Ofsted recommendations. We suggest that all parents whose children carry Epipens arrange for a qualified medical practitioner to demonstrate the use of the Epipen to our first aider, Camp Manager and Crew Leader on their first day at camp. If this is not possible then we will accept a demonstration given by a parent/guardian instead.

The Camp will always have a designated First Aider onsite, who has a current first aid certificate and has attended a 12 hour paediatric first aid course, which complies with the requirements of Annex A of the EYFS. First aid training will be renewed every three years.

We will take into account the number of children and layout of the premises to ensure that first aiders are able to respond quickly to any incident. The location of the first aid box and a list of qualified first aiders are clearly displayed at the Camp. The designated First Aider regularly checks the contents of the first aid box to ensure that they are up to date, appropriate for children and comply with the Health and Safety (First Aid) Regulations 1981. The Camp Manager will ensure that a first aid kit is taken on all outings and that at least one member of staff on the outing holds a current paediatric first aid certificate.

Procedure for a minor injury or illness

The first aider at the session will decide upon the appropriate action to take if a child becomes ill or suffers a minor injury. If a child becomes ill during a session, the parent or carer will be asked to collect the child as soon as possible. The child will be kept comfortable and will be closely supervised while awaiting collection. If a child complains of illness which does not impair their overall wellbeing, the child will be monitored for the rest of the session and the parent or carer will be notified when the child is collected. If a child suffers a minor injury, first aid will be administered and the child will be monitored for the remainder of the session. If necessary, the child’s parent will be asked to collect the child as soon as possible.

Procedure for a major injury or serious illness

In the event of a child becoming seriously ill or suffering a major injury, the first aider at the session will decide whether the child needs to go straight to hospital or whether it is safe to wait for their parent or carer to arrive. If the child needs to go straight to hospital, we will call an ambulance and a member of staff will go to the hospital with the child. The staff member will take the child’s Medical Form with them and will consent to any necessary treatment (as approved by the parents on the Medical Form).We will contact the child’s parents or carers with all urgency, and if they are unavailable we will call the other emergency contacts that we have on file for the child. After a major incident the manager and staff will review the events and consider whether any changes need to be made to the Club’s policies or procedures. We will notify HSE under RIDDOR in the case of a death or major injury on the premises (eg broken limb, amputation, dislocation, etc – see the HSE website for a full list of reportable injuries).

Communicable diseases and conditions

If a case of head lice is found at the Camp, the child’s parents or carers will be discreetly informed when they collect the child. Other parents will be warned to check their own children for head lice, but care will be taken not to identify the child affected. If an infectious or communicable disease is detected on the Camp’s premises, we will inform parents and carers as soon as possible. If there is an outbreak of a notifiable disease at the Club, we will inform the local health protection unit, HSE under RIDDOR (if appropriate), and Ofsted.

Photography and Video

Please be aware that we occasionally take photographs/videos of children on camp for our promotional materia, subject to your prior permission to do so on the booking form.

​​Parent Feedback

We value your feedback and use it to develop and improve our services. Concerns can be raised initially with the Camp Manager for more serious issues.

​​Lost Property

Please note we will keep lost property for a period of one week or until the end of the camp season (whichever is later), please email us to arrange a time for it to be collected, after this date it will be disposed of appropriately.​​

Toilet training

For health & safety reasons, we require that all children are fully toilet trained. We cannot accept children that require nappies and reserve the right to exclude any child that does not fulfil these requirements.

Child Exclusion

On rare occasions, if a child proves incompatible with the general well-being of camp, e.g. they are involved in bullying or are engaged in disruptive or aggressive behaviour, we reserve the right to exclude them. No credit will be made for any remaining days booked, and any costs associated with the exclusion, including transport home, will be the parents’ responsibility.

Our Camps and Classes encourages a relaxed atmosphere on Camp and aims to promote positive behaviour at all times.Upon booking you agree that your child or children will:

  • Respect the property of othersBe patient, honest, fair, and polite to others

  • Not use abusive or obscene language

  • Not be aggressive in the way they speak or behave towards others

  • Will respect and treat others as they would wish to be treated.

We have a responsibility for ensuring the well-being and safety of all children in our care and have approved procedures for managing behaviour.The company follows a zero-tolerance policy on discrimination, bullying and persistent poor behaviour of any kind, irrespective of any special needs.
